Privacy policy

This policy explains what personal information TBK Villas collects when you enquire or book with us — on WhatsApp, through this website, or by phone or email — what we do with it, and the choices you have.

1. Who we are

TBK Villas rents privately owned holiday villas in North Goa, India. We are responsible for the personal information described in this policy.

2. What we collect

On WhatsApp

When you message us on WhatsApp, including through our automated assistant, we collect:

  • the name and phone number on your WhatsApp account;
  • what you write to us in the chat;
  • your stay dates and the number of guests;
  • which villa you pick;
  • for confirmed bookings, the details you give us for the booking.

On this website

Our contact and brochure forms don’t store anything on this website. When you press send, they open WhatsApp with your message filled in, and it reaches us as a WhatsApp message, covered above. Like any website, our hosting provider keeps standard server logs, such as IP address, browser type and the pages visited, for security and to keep the site running. We don’t use advertising or social-media tracking pixels.

3. Why we use it

  • to answer your enquiries;
  • to check availability for your dates;
  • to send you villa brochures and share prices;
  • to make and manage your booking, and to look after you during your stay.

4. Who else handles it

  • Meta (WhatsApp), which carries our WhatsApp messages. Meta’s own privacy policy also applies to your use of WhatsApp.
  • Hostinger, our hosting provider, which stores the data on its servers.
  • Our email provider, which we use to send our team alerts about new enquiries.

Each of them handles your information only to provide their service to us. We also share information where the law requires us to. We never sell your personal information, and we don’t use it for third-party advertising.

5. How long we keep it

  • Enquiries that don’t become a booking: 12 months from your last message.
  • Booking records: for as long as Indian tax and accounting law requires us to keep them.

After that, we delete it or remove anything that identifies you.

6. Your rights

You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. You can also withdraw your consent to our using it. Withdrawing doesn’t affect anything we did before, and we may still need to keep booking records that the law requires.

To stop WhatsApp messages from us, reply “STOP” in the chat or block our number.

7. Security

We keep your information on secured servers, and only the staff who need it to handle your enquiry or booking can access it.

8. Grievance Officer

If you have a complaint about how we handle your personal information, contact our Grievance Officer under India’s Digital Personal Data Protection Act, 2023:

We’ll respond within 30 days. If you’re not satisfied with our response, you can take your complaint to the Data Protection Board of India.

9. Changes to this policy

If we change this policy, we’ll update this page and the “Last updated” date at the top.
